Administrative Assistant

SMRLS is seeking to fill an Administrative Assistant position in its St. Paul office. This position would provide clerical support to several departments in Executive Area including, but not limited to, Philanthropy, Human Resources and Executive Administration. 

Responsibilities:
Provide clerical support for firm Executives and departments by performing
secretarial and clerical functions such as composing correspondence, answering email and phone inquiries, doing data research or compilation for reports, and scheduling meetings and appointments.

Duties may include, but are not limited to:
• Preparing a variety of documents, letters or memoranda.
• Setting up meetings, coordinating schedules, updating rosters and lists
• Copying and assembling documents, handling requests for print material, maintaining files of correspondence, records and projects
• Promoting various opportunities and events via social media
• Implementing marketing plans for various programs and legal units.
• Completing statistical data forms, preparing reports, PowerPoint presentations and the like.
• Other secretarial or clerical duties as assigned.

Qualifications:

An Associate Degree in Secretarial Studies or successful completion of a
Two-Year Secretarial Program at a business school or vocational/technical
institute. Completion of one year business school or vo-tech secretarial certificate program and
two years of Secretary experience with satisfactory evaluations may substitute for the two-year educational requirement. Three years of Secretary experience may substitute for the one-year educational requirement.

Knowledge of spelling and grammar, general office procedures, legal terminology is required.
Ability to use computer software, including word processing, basic spreadsheets, email, and
internet browsers are required. Experience using a variety of standard office equipment (copiers, fax machine, etc.) required.

Ability to set priorities and meet work deadlines, to work independently in the absence of instructions and demonstrated use of discretion in the handling of confidential
information is required. Ability to establish and maintain effective working relationships with
attorneys, other employees and clients is required. Ability to understand written and oral
instructions, to work under pressure, cope with emergencies and meet deadlines is
required. Must be attentive to detail and be able to communicate effectively by phone and in
person.

Salary: $31,110 + DOE. Excellent benefits provided.
